Terms & Conditions

Dear Guest,

Thank you for booking with ORKA 88. By paying your deposit, you confirm that you have read and accepted the terms set out below.

1. Booking & confirming your place

Places on each retreat are limited and offered by enquiry or invitation. Once we've confirmed availability, your place is reserved when we receive your deposit. We aim to confirm your booking within [24–48 hours] of receiving your enquiry. Every retreat runs subject to a minimum number of guests, and we'll let you know as soon as your retreat is confirmed to go ahead.

2. Deposit

A deposit of ₹30,000 per person reserves your place. Until your retreat is confirmed to run — that is, until it has reached the minimum number of guests — your deposit is fully refundable. If we are unable to run the retreat, we'll refund your deposit in full. Once your retreat is confirmed, the deposit becomes non-refundable except as set out in section 4.

3. Balance

The full remaining balance is due 40 days before departure. For the inaugural Phuket retreat (9–13 September 2026), this means your balance is payable on or before 31 July 2026. We recommend booking flights and arranging travel insurance only once your retreat is confirmed to run. If you book within 40 days of departure, the full amount is payable at the time of booking.

4. If you need to cancel

We understand that plans change. If you need to cancel, please let us know in writing. Charges depend on how many days before departure we receive your notice. Where a percentage charge and the deposit differ, the greater of the two applies:

  • 41 days or more before departure: loss of deposit

  • 40–29 days before departure: 50% of the total price (or the deposit, whichever is greater)

  • 28–15 days before departure: 75% of the total price

  • 14–8 days before departure: 90% of the total price

  • 7 days or fewer, no-show, or leaving early: 100% of the total price

These cancellation charges represent a genuine pre-estimate of the losses likely to be incurred by us, including committed accommodation costs, coaching fees, transport arrangements, administration and the reduced opportunity to resell your place.

5. Genuine emergencies

In the event of a genuine medical emergency or serious unforeseen circumstance, supported by appropriate documentation such as a medical certificate, we'll do our best to transfer your place to a future ORKA 88 retreat or find another solution at our discretion.

6. Price, payment & taxes

All prices are quoted in Indian Rupees (INR) and are per person, based on two guests sharing a room. A single-occupancy supplement applies if you'd like a room to yourself. Prices include Goods and Services Tax (GST) where applicable. Tax Collected at Source (TCS) on overseas tour packages, under Section 206C(1G) of the Income-tax Act, 1961, will be added where applicable and shown on your invoice; TCS can be set off against your income-tax liability when you file your return. Please make all payments to the account shown on your invoice.

7. What's included

  • Four nights at Angsana Laguna, Phuket, with daily breakfast and lunch

  • 15 hours of coaching and supervised play at Raccoon Pickleball

  • A friendly tournament with Phuket's local pickleball community

  • The curated sit-down farewell dinner at XANA Beach Club

  • A 25% Angsana Spa discount voucher

  • All hotel-to-court transfers, including transfers to Raccoon Pickleball

8. What's not included

  • International and domestic flights

  • Airport transfers

  • Visa costs

  • Travel insurance

  • Meals other than those listed above (i.e. dinners other than the farewell dinner)

  • Spa treatments, personal expenses, and anything not expressly listed as included

9. Health & participation

​Pickleball is a physical activity. By booking, you confirm that you are medically fit to take part in pickleball and the other activities in the programme, and that you'll tell us in advance of any condition, injury, allergy or dietary requirement we should know about. You take part at your own risk and should use your own judgement about your limits. To the fullest extent permitted by law, Active Travels LLP, its partners, coaches, staff and suppliers are not liable for injury, illness, loss or damage that is not caused by our negligence. Nothing in these terms excludes or limits any liability that cannot be excluded or limited under Indian law.

10. Third-party suppliers

Certain services are provided by independent third-party suppliers. While we exercise reasonable care in selecting them, we are not responsible for their independent acts or omissions except where required by applicable law.

11. Travel documents & insurance

It is your responsibility to hold a valid passport (with sufficient validity for your destination) and the correct visa, travel authorisations, vaccinations and entry requirements for the countries you visit. Entry rules change, so please check the latest visa guidelines relevant for your country before you travel; we'll share current guidance ahead of the trip. We strongly recommend comprehensive travel insurance covering cancellation, medical expenses, personal belongings, travel disruption, and participation in pickleball activities.

12. Your data & our group chat

We handle your personal data in accordance with India's Digital Personal Data Protection Act, 2023, and use it only for purposes connected with managing your booking, operating your retreat, and complying with applicable legal obligations. Further information about how we collect, use and protect your personal data is available in our Privacy Policy. By paying your deposit, you expressly consent to our processing of your personal data for these purposes, including adding you — using the phone number you provide — to a retreat group chat used for introductions, updates and important trip information. You may leave the group at any time.

We may take photographs and video during the retreat for our records and marketing; if you would prefer not to appear, just let us know and we'll respect that.

13. Force majeure

We are not liable for any failure or delay in performing our obligations where it is caused by events beyond our reasonable control, including natural disasters, extreme weather, epidemics or pandemics, government action, civil unrest, strikes, or transport disruption.

14. Governing law & jurisdiction

These terms are governed by the laws of India. Any dispute arising from or in connection with them is subject to the exclusive jurisdiction of the courts of Kolkata, West Bengal.

15. What you'll need

  • Passport with sufficient validity, plus any required visa or travel authorisation

  • Your pickleball paddle (rentals may be available)

  • Non-marking court shoes and breathable sportswear

  • Hat, sun cream and a water bottle

  • Swimwear and something nice for the farewell dinner

  • A universal travel adaptor suitable for Thailand

  • A portable charger for long play days

  • Any personal medications

Once your retreat is confirmed, we'll send your full schedule, joining instructions and accommodation details. We'll be there to welcome you on arrival and make sure you have an unforgettable time on and off the court.
